56 : Revenue Cycle Management, Real AI, and the Companies That Are Faking It

Dentists are paying every month for tools sold as AI, and some of those tools are not AI at all. Amber Day explains how to tell the difference before you sign anything.
WHAT THIS EPISODE IS ABOUT
Amber Day has worked every side of dental technology. She started as a dental hygienist, spent five to six years at Solutionreach running a territory, then her own sales team, and eventually key opinion leader and trade show strategy, then moved into consulting for DSOs. Today she leads sales and business development at VoiceCare AI, a multimodal revenue cycle management platform backed in part by Mayo Clinic, and she runs her own practice transitions consulting company.
Adrian opens with a blunt claim: a lot of dental software marketed as AI is really robotic process automation, or in some cases people typing at keyboards overseas. Amber does not dodge it. She walks through the difference between RPA, which follows a fixed chain and breaks when any single link breaks, and true AI built on retrieval augmented generation, which ingests what it has not seen before and adjusts. Her advice to practices is simple. Ask which one you are actually buying.
From there the conversation moves into revenue cycle, where the real money is hiding. Amber describes practices writing off thousands of dollars in claims every month for no reason other than nobody has time to chase them. She explains why payers benefit from that, why a multimodal agent needs phone calls, portals, and clearinghouse APIs to work at all, and why a human still sits in the loop even at a 99.7 percent accuracy rate. Adrian and Amber also get into tech stack bloat, the coming consolidation wave, and why practice management systems are going to swallow a lot of point solutions faster than most vendors want to admit.
QUESTIONS ANSWERED IN THIS EPISODE
1. How can a dental practice tell if a software tool is really powered by AI or just automation?
Ask whether the tool uses RPA or true AI. Robotic process automation follows a fixed chain, so one broken link stops everything and someone has to repair it by hand. Real AI uses retrieval augmented generation, learns from what it has not seen before, and adjusts on its own.
2. What should a dentist ask an AI vendor before signing a contract?
Ask when the system last failed and how the company fixed it. A polished demo tells you nothing about behavior under pressure. Then press on integration. Many vendors claim read and write access to the practice management system, so ask exactly where the data writes back and where it pulls from.
3. Should a dental group buy a separate tool for insurance verification, claims, and denials?
No. Buying a point solution for each task bloats the tech stack and leaves the workflow broken across three vendors. Map the full revenue cycle first, count the manual touch points, then look for one partner that works across the whole workflow instead of reacting to today’s bottleneck.
4. Will practice management systems eventually absorb standalone dental AI tools?
Yes, and sooner than most people expect. PMS companies own the clinical notes and the patient data, which makes them the single source of truth. Several already have partners in beta building receptionist and note taking features. Deeply technical work like claims and payer rules will stay independent longer.
5. How much revenue does the average dental practice lose to unworked insurance claims?
Thousands of dollars every month get written off because nobody has time to chase them. Teams work the high value claims and let the rest expire. VoiceCare AI now reports a 99.7 percent accuracy rate on payer data, up from 93 percent, which is what makes catching those smaller claims realistic.
